Position Description

Job Summary:

This position is responsible for providing a high level of organization and support to the executive management team by serving as a channel for communication and by combining and utilizing talents, expertise and resources. 
 
 
 

Primary Duties and Responsibilities:
  • Organizes programs, events, meetings or conferences by arranging facilities, transportation and caterers, issuing information or invitations, coordinating speakers and controlling event budget.
  • Prepares agendas, notices, and support materials for corporate meetings.
  • Creates and maintains document and spreadsheet files.
  • Arranges complex and detailed travel plans and itineraries, compiles documents for travel-related meetings.
  • Creates and maintains PowerPoint presentations for the executive management team.
  • Maintains confidentiality of all corporate, personnel and research matters.
  • Provides back-up support to other shared services departments.
  • Performs special projects as assigned.
 
 
Education, prior work experience and specialized skills/knowledge:


A minimum of an Associate’s degree from an accredited college or university with a degree in Business, Administrative Assistant.  Three to five years of professional experience in an executive support or higher level administrative position.  Demonstrated excellent interpersonal, verbal, and written communication skills, including strong listening skills.Ability to interface well with all departments within the company and to represent the respective executive in a highly professional manner.  Demonstrated high level of confidence and self-motivation.  Demonstrated high-level technology and computer skills. (Microsoft Word, Excel, Outlook, PowerPoint, VISIO, as well as setting up computer and office equipment for corporate meetings and events).  Must have high level of interpersonal skills to handle sensitive and confidential situations. Position continually requires demonstrated poise, tact and diplomacy.  Work requires continuous attention to detail in composing, typing and proofing materials, establishing priorities and meeting deadlines.  Demonstrated ability to handle multiple tasks simultaneously. Exceptional organizational skills required. Ability to meet designated deadlines is also a critical qualification.
