Under the leadership of the Regional Campus Executive Director, the Administrative Coordinator - Regional Campus, organizes, and oversees the operational activities for Milwaukee Area Technical College's (MATC) Regional Campuses. The position functionally supervises, trains, counsels and assigns work to student workers at the campus.
Builds and maintains partnerships with community leaders, agencies, school leaders, and public officials. Performs work with considerable independent judgment, creativity and ingenuity to analyze and solve problems. Supervision received is general in nature using established procedures and general objectives. Communication and collaboration is continuous between the division, industry partners, community and other offices throughout the district.

Characteristic Duties and Responsibilities

Administrative and Student Support Services: Handles a range of administrative duties and general campus support. Addresses student concerns and provides referrals to support services. Facilitates communication between students, faculty, and staff.

Community Relationship Management: Establishes and maintains excellent working relationships with community leaders, current and prospective students, parents, and various organizations. Engages with the local community to promote programs and recruit prospective students.

Budget, Payroll and Record Keeping: Provides budget reports, budget transfers. Responsible for ordering supplies, books, software and other items needed for successful operations. Maintains and coordinates comprehensive office and confidential files; including but not limited to payroll files, calendars, faculty/staff absences, and meeting notes. Responsible for management of personnel requisition and timekeeping submissions.

Operational Support: Prepares correspondence, memos, minutes, reports and other complex, technical and/or confidential documents. Oversees the preparation of a variety of other materials to include correspondence, documents, reports, proposals, charts, or memos from rough draft or recordings. Assists with campus onboarding for faculty and staff. Coordinates new employees set up to include system permission requests, office space, office phone, business cards, computer device, ID badge, keys, etc., in collaboration with appropriate Dean or Regional Campus Executive. Functionally supervises student worker assignments and scheduling.

Events Management: Coordinates all facility rentals and events; serves as primary contact for internal and external customers; primary on-site trouble-shooter during events. In accordance with college policy/procedure generates contracts, billing, determines and requests setup needs, AV/multimedia needs, signage, etc., and handles all catering needs. Also, works with the Marketing Team to promote events, recruits student speakers and conducts student interviews.

Equipment, Building Operations and Maintenance: Operates personal computer, office equipment and other relevant equipment necessary to complete tasks. Maintains computer and related equipment inventory for the division. May be responsible for monitoring equipment maintenance needs as needed. Responds to staff concerns regarding technical difficulties, building issues, safety concerns, and work with the appropriate departments to facilitate a resolution.

Committee Involvement: Serves on internal campus committees and cross-functional project teams as necessary.

Collaborative Teamwork: Establishes, maintains, and enhances positive work relationships with staff, faculty, and administrators.

Continuous Learning & Professional Development: Maintains current knowledge of best practices and standards in higher education with an emphasis on community Colleges. Actively organizes and/or participates in applicable workgroups, trainings, workshops, seminars, committees and professional associations or conferences to promote continuous learning.

Other duties: Performs other related duties within the scope of the position as required for the efficient operation of the division and to support institutional objectives.

Qualifications


Required Education & Experience Associate's degree in Human Resources, Business or related field. Five (5) years' experience in an office administrative or support position.

  • Requires a broad knowledge of current business office practices, procedures and composition.

  • Ability to speak publicly effectively and frequently for audiences of varying sizes with all key stakeholders

  • Ability to establish, collaborate and maintain effective work relationships with peers, students, teachers, staff, representatives of outside agencies, educational institutions, and the general public.

  • Demonstrated knowledge of Generally Accepted Accounting Principles and Governmental Accounting Standards.

  • Deadline and detail-oriented, with strong organizational, analytical, and planning skills.

  • Knowledge of and proficiency in the use of a personal computer, computer applications and software such as Google Workspace, Word, Excel, Electronic Mail, etc.

  • Ability to keep complex records, to assemble and organize data, and prepare reports from such records.

  • Excellent organizational skills with an ability to prioritize and manage multiple tasks and a variety of demands.

  • Ability to communicate effectively through both oral and written means.

  • Ability to compose a wide variety of correspondence without specific instructions.

  • Ability to convey an image of professionalism and dedication in work related activities.

  • Ability to work with culturally diverse student and employee populations.

  • Ability to work successfully with minimal supervision and serve as a leadership role to others.

  • Ability to establish workflows, manages multiple projects, and meets necessary deadlines.



Supplemental Information

Hours
This is a part-time position and may work up to 19 hrs. per week. Hours are Monday - Wednesday 1pm -6pm & Thursday 2pm- 6pm. Hours are subject to change based on department needs.


Salary

Salary is listed to the midpoint of the salary range and is based on the 2023/2024 rates and are determined by years of experience credit and internal salary equity.
