Job Summary Responsible for the management of all payroll related functions to ensure proper set-up, processing, and generation of the organization's payroll for Physicians and staff. Manages timekeeping processes and tax compliance. Ensures the computing, withholding, and calculating of deductions associated with gross and net pay are done properly and in accordance with federal, state, and local regulations. Oversees the HRIS Payroll and timekeeping system along with compilation of periodic and special reports on payroll matters. Assists with the organization's payroll policy development, administration, and compliance.Requires a strong knowledge of payroll rules & regulations, labor laws and tax regulations. What you will do * Payroll and Time & Attendance Processes -Manages and processes bi-weekly payroll disbursements, including taxes, benefits, and garnishments, ensuring compliance with federal and state wage & hour laws. -Manages the complete Physician payroll cycle. -Administers pay cards for off-cycle or unbanked employees. -Verifies sick leave, unpaid time, and leave of absence types (PTO, military leave, FMLA, etc.). -Maintains payroll deduction and pay rate change authorization files. -Calculates taxes, benefits, and other deductions for unusual or changed payroll data. -Manages HRIS updates for annual wage adjustments within Prevea guidelines, and calculation and submission of bonus payments. -Reviews additions and changes to computerized payroll system (e.g., changes in salary, tax withholdings, etc.) -Manages year-end processing (W-2s). * Compliance & Reporting -Manages audits of employee W-4s, balance payroll reporting, garnishments, etc. -Quarterly reconcile federal, FICA and state income tax withholding reports. -Assist independent auditors as requests arise with interim and year-end audit reporting. -Manages and reconciles Earned Wage Access vendor reports. -Oversees all ADP reporting. * Training and Customer Service -Oversees and ensures adequate training, and cross-training/backup for payroll area. -Conducts Leader Training and creation of updated manuals and materials. -Investigates and follows up on problems/complaints. -Helps employees to understand payroll calculations and deductions, investigates problems and makes appropriate corrections. * Strategic Planning & Collaboration -Review and analyze current payroll and tax procedures and recommend and implement changes leading to best practice operations. -Communicate with Finance, HR & Operations to review cross-departmental impacts and reconcile data sharing. -Collaborate with the benefits team to align and implement a more efficient payroll and benefits system. -Participate in strategic initiatives and collaboration opportunities with other departments. * Systems Management -Liaise between the organization and our 3rd party vendors, to ensure all teams are aligned as it relates to payroll processing, time keeping administration, and related activities -Participate in future RFP and implementations. Implement and maintain payroll systems purchased from outside vendors. Document and improve payroll processes and procedures. -Manages the payroll and timekeeping aspects of the HRIS system, ensuring user understanding and implementation of system requirements and revisions. * Leadership -Performs full range of leadership responsibilities which include, but is not limited to; interviewing, hiring, coaching, and development of employees; managing performance and any performance issues; planning, assigning, and directing work; encourage innovation, teamwork, fiscal responsibility, high-quality work, and a positive/productive work environment. Education Qualifications * Associate's Degree in Accounting or Human Resources Preferred Experience Qualifications * 7-9 years experience processing payroll Required * 1-3 years leadership experience Preferred Skills and Abilities * Knowledge of payroll procedures and payroll tax at the federal, state and local levels. * Knowledge of multi-state labor laws, taxation and garnishment. * Extensive admin knowledge of HRIS/Payroll systems, ideally ADP Vantage. * Proficient in Microsoft Office products, particularly Excel. * Ability to examine documents for accuracy and completeness. * Ability to work effectively with internal and external customers as a team member. * Ability to communicate clearly and maintain a high level of confidentiality. * Self-motivated and resourceful, with demonstrated ability to operate with a high degree of detail oriented accuracy.
