Job Description

Job: Full time, Salaried, Exempt, Union

Union Minimum Salary: $50,769/yr.

General Purpose: Supports functions in the registrar's office with primary emphasis on all aspects of the management of the museum’s permanent art collection, including collections and media record management, collections storage, the processing of new acquisitions and management of object moves, development of policy and procedures and the administration of the collections management system (TMS). Reports to the Senior Registrar. 

Duties and Responsibilities: 

  • Responsible for the overall management and support of the collections database, facilitate integrations, upgrades and serves as point of contact for The Gallery Systems, including development and maintenance of data entry standards; management of database security and user access levels; providing training and support for users; generating checklists and creating reports.
  • Manages all logistics for incoming acquisitions including shipping, prepares paperwork including deeds of gift/purchase agreements, process invoices, assigns accession numbers, creates new object and associated records in TMS. Prepares documents for promised and partial gifts and bequests.
  • Oversees location tracking, inventory, and participates in quarterly collection audits.
  • Manages collection storage on and off-site for short and long-term storage.
  • Oversees art installation/deinstallation in collection gallery rotations and collection-related exhibitions, including coordinating loans as needed.
  • Maintains collection records and donor files
  • Assists with developing and maintaining Collection policies and procedures
  • Creates reports and manages information requests related to collection records
  • Prepares condition reports as needed
  • Serves as courier for loans as needed.
  • Assists with deaccession projects as needed.
  • Serves on the working group Community of Practice for Knowledge Management Integration.
  • Provides general support to the Registrar’s office as assigned.
Requirements

Education/Experience Requirements:

  • Undergraduate degree in art history, museum studies, or equivalent work experience in related field
  • 3 to 5 years of museum registration and/or collection management experience
  • Experience managing museum collections management systems; TMS and Crystal Reports preferred
  • Thorough knowledge of collections management best practices required
  • Ability to handle multiple assignments simultaneously and to meet deadlines.

Physical Requirements:

  • Remain in stationary position up to eight hours per day
  • Move about the museum, loading dock, vaults, and offices
  • Position self to reach high shelves and objects
  • Position self to low positions such as shelves upon occasion
  • Operate computer and other office productivity machinery
  • Move boxes or objects weighing 10 to 25 lbs
  • Communicate with Museum staff and stakeholders. Must be able to exchange accurate information is these situations.
  • Detect, observe, and discern museum items at close distances
  • Detect, recognize, and discern color in museum objects
