Position Description:

As a Clinical Program Coordinator II in the Department of Medicine's, General Internal Medicine Division you will coordinate the day-to-day clinical administrative activities of the (Hospitalist/Primary Care/Perioperative Medicine) Section. Provide support to the team to facilitate the achievement of the program's goals.

Primary Functions

  • Act as a liaison between the division's administrative office and clinical functions. Keep all parties from both areas abreast of changes as they occur. Advocate for and assist in Lean and continual process improvement.
  • Create and maintain clinic templates and clinical service schedules for the section. Create and maintain clinical scheduling protocols. Investigate scheduling errors and perform template audits when necessary and provide feedback where needed.
  • Create an annual service schedule for faculty. Create, maintain, and disseminate daily/monthly faculty clinical and on call schedules. Enter monthly on-call schedule to paging system. Serve as clinical coverage resource.
  • In conjunction with divisional leadership, create and maintain policies and procedures for the Section.
  • Process provider time off requests per protocol and adjust schedules as appropriate. Track and report on requests and alert leadership to any deviations from policy.
  • Coordinate CME functions for the section, including annual CME events. Update and maintain annual CME certification utilizing ETHOS CME system.
  • Coordinate new provider onboarding and offboarding as it relates to provider clinical documents such as clinical protocols, templates, web site updates, introduction, or departure letters, etc.
  • Collaborate on the development of program materials including educational materials, marketing materials, websites, forms, and reports.
  • Coordinate non-ACGME accredited fellowship activities for the division, including learner interviews and educational schedules. Assist the Program Director in developing and maintaining program curriculum.
  • Collaborate with the Office of Global Health to coordinate the division's International Scholar Program, including learner interviews and educational schedules. Assist the Program Director in developing and maintaining program curricula.
  • Train new staff in clinical and educational aspects of the division. Provide ongoing educational opportunities/training for existing staff.
  • Coordinate special projects and assist administrative staff as needed.
  • Develop, implement, and maintain comprehensive databases and files related to the program.
  • Maintain program timeline including tracking deadlines and program components.
  • Collect, analyze, and disseminate program data. Provide input on program design.
  • Work with the Division Administrator in reporting clinical data and progress to program stakeholders.
  • Participate on appropriate committees relevant to the advancement of the program and the profession.

Position Requirements:

Specifications Appropriate experience may be substituted on equivalent basis

Minimum Required Education: Bachelor's degree
Minimum Required Experience: 3 years

Preferred Education: Bachelor's degree in Business Administration, Healthcare Administration, Communication or other related field
Preferred Experience: 3 years in clinical administrative work or other related field
