Job Description

Kenosha Community Health Center is looking for a Clinic Operations Manager with a minimum of three years experience in Ambulatory or Dental care settings, overseeing multiple locations, providers and support staff.

POSITION SUMMARY

The Clinic Operations Manager is responsible for planning, managing, and evaluating the daily operations of the assigned clinic(s) and to achieve daily, weekly, quarterly, and annual goals and objectives. The manager leads the site's direct care and support staff with a balanced focus on operational, financial, clinical, and service excellence while maintaining a healthy work environment. The manager leads a values-based culture of excellence that also ensures services are delivered in an equitable, inclusive, and culturally competent manner to meet the social, cultural, and linguistic needs of the patients and families served at the site. This role requires a solid understanding of both the business and clinical side of clinic administration as well as policies/standards/procedures, quality/growth objectives and familiarity with clinic patient care services and workflows.

ESSENTIAL FUNCTIONS

This list of duties and responsibilities is not all inclusive and may be expanded to include other duties and responsibilities, as management may deem necessary from time to time.

Clinic Operations:

* Manages the daily multi-clinical service (medical, dental, and behavioral health) operations of the assigned clinic location or service to assure optimal delivery of safe, appropriate, accessible care and services that are consistent with the HRSA defined scope.

* Complies to a Leader Standard Work organizational philosophy, using a set of recurrent management practices, tools, and skills that are standardized and part of the manager's daily, weekly and monthly routine.

* Leads clinical staff in a manner that promotes optimal practitioner productivity/patient flow and customer service. Anticipates and plans for future changes and works collaboratively with providers/staff and other stakeholders to achieve this.

* Maintains adequate staffing levels for all aspects of the clinical practice. Anticipates staffing needs, plans for vacant positions, anticipate, and manages fluctuations in staffing demands.

* Monitors/reports clinic metrics/results.

* Identifies, develops, and implements timely performance/process improvement opportunities.

* Oversees the site(s) materials and supplies management process to ensure that all clinical and non-clinical materials and supplies inventory are properly ordered, maintained, stored, and secured.

* Works collaboratively with Revenue Cycle Manager to monitor key metrics and improve site performance of revenue cycle activities that ensure timely and appropriate billing and collections.

* Assures all operations are following regulatory requirements and all applicable policies/procedures.

* Participates in the development of the budget for assigned site(s).

Patient Experience:

* Assures the delivery of patient care meets or exceed clinical quality and safety standards.

* Cultivates a culture that focuses on resolving issues of health equity, promotes cultural humility, and creating a welcoming environment that promotes inclusion of all patients.

* Trains and supports staff in delivering a consistent patient experience. Resolves patients' complaints and concerns in a timely and appropriate manner

* Oversees the timely resolution of complaint/service issues to facilitate a positive patient experience.

* Implements initiatives to improve patient satisfaction and collaborates with providers, staff, and administrative leaders to improve the system

Supervisory Responsibilities:

* Manages assigned clinical and non-clinical support personnel

* Oversees all staffing, scheduling, and payroll activities

* Completes employee performance reviews

* Hires staff

* Oversees the orientation of new hires and

* initial and ongoing competency training and evaluation

* Manages performance within the progressive disciplinary process when needed

* Ensures that all staff are appropriately trained on the Electronic Medical Record System (EMR), have the proper security clearances, and use the technology correctly.

Compliance and Emergency Preparedness:

* Works collaboratively with Quality and Risk Management to manage and coordinates clinic security, risk management, disaster readiness, and facilities upkeep/maintenance activities

* Develops, implements, and enforces all policies and procedures that impact clinic operations.

* Oversees the management process to ensure that all clinical and non-clinical equipment is properly maintained and repaired as needed; ensures that all equipment-related activities are properly documented.

* Ensures medical/behavioral health department readiness for regulatory visits or surveys (including Health Resources and Services Administration, Department of Public Health and the WI Department of Safety and Professional Services).

* Manages the clinic's incident reporting (Compliatric) process ensuring all reported incidents are appropriately responded to in a timely and effective manner.

* Other duties as assigned.

POSTION REQUIREMENTS

Will Consider Candidates with Education and Experience

* Minimum of three (3) years of management or supervisory experience in a clinical environment preferred

* Management of an Ambulatory Clinic Environment preferred

* Bachelor's Degree in Nursing or Health Administration preferred

* CPR Certified

WORK SCHEDULE

Availability to work a minimum of 40 hours during clinic operating hours, Monday - Thursday, 7am - 7pm, Friday, 7am - 5pm and rotating Saturdays 7am - 3pm and after hours support as needed.

Pay: $75,000.00 - $90,000.00 per year
