Located at our beautiful Headquarters along Lake Michigan in downtown Racine: 555 Main Street, Racine, WI. Hybrid work schedule.

About the Role:

Provides, initiates, and prioritizes a variety of complex, diversified, confidential, and comprehensive administrative support to executives. Prioritizes, organizes, and helps manage executive leadership calendars/schedules, commitments, domestic and international traveling, and communication with internal and external stakeholders.

What you will be doing:

  • Handles confidential and non-routine information and facilitates communication between appropriate departments.
  • Schedules, maintains, and prioritizes executive's calendars/schedules as needed. Supports the planning and organization of administrative aspects such as agenda preparation, location, catering, logistics, audio-visual arrangements, document creation and expenses.
  • Coordinates and processes domestic and international business travel arrangements which may include managing logistics, generating expense reports, and reconciling corporate credit card charges to ensure timely and accurate reimbursement.
  • Provides project and administrative support which includes creating documents, presentations, as well as auditing and analyzing, and gathering information.
  • Performs independent research and compiles, analyzes, and summarizes information from a variety of sources to support administrative needs.
  • Creates, edits, and maintains confidential and complex electronic and written communication on behalf executives such as memos, graphics, statistical data, reports, presentations, flow charts and organization charts utilizing Microsoft Word, PowerPoint, Excel, Outlook, and SharePoint.
  • Researches, prioritizes, and follows up on incoming issues and concerns including those of a sensitive or confidential nature. Determines appropriate course of action, referral, or response.
  • Serves as recording secretary for committees, and compiles and distributes quarterly reports, meeting agendas and minutes.
  • Operates and maintains office equipment (fax, printer, photocopier) and may order office supplies.
  • Performs other duties as assigned.

What you need to succeed:

  • Typically requires a bachelor's in business administration or equivalent.
  • Typically requires a minimum of 7 years of experience managing and overseeing complex administrative support for an executive.
  • Advanced skills and ability to anticipate needs, think critically, and offer solutions to problems with a high level of professionalism and confidentiality.
  • Ability to prioritize workflow and make effective administrative decisions to increase efficiency, accuracy, and productivity.
  • Proven experience in managing executive-level calendars, time, travel, meeting logistics, events, meetings, and catering.
  • Excellent skills in all aspects of planning, collaboration, analytics, problem-solving, time management, and proactive awareness.
  • Demonstrated proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint, and Teams).
    • Demonstrated ability to create and compile simple to complex documents, reports, graphs/charts, and presentations.
    • Strong skills in using Teams to manage meetings, create/organize various folders and manage files.
  • Excellent and advanced verbal and written communication skills to work effectively with senior leadership, internal and external stakeholders, the Board of Directors, and the executive team.
  • Effective organization and time management skills with the ability to work under pressure and adhere to project deadlines.
